Dwell Village Melbourne City Cancellation Policy
1. Booking Terms and Conditions
Upon submission of the booking application and the payment of a deposit equivalent to one week’s rent, a room offer email will be sent to the applicant. Subsequently, the holding deposit paid will go towards the initial rent payment once the applicant formally enters into a tenancy agreement with Dwell. A bond payment, amounting to 4 weeks’ rent, is also required to be settled within 7 days from the issuance of the room offer email. This bond payment is lodged with the Rental Tenancy Bond Authority (RTBA) in accordance with the Residency Tenancy Act.
Within 48 hours from the time the payment of the holding deposit is made, applicant can cancel the application and obtain a refund of the holding deposit, less an administrative fee of $50. After the 48 hours, the holding deposit will not be refunded, with the exception of first-year students who did not secure a university offer or a visa*.
Your reservation is not confirmed until you have received and accepted our room offer. If your room is not available, your deposit will be refunded.
To withdraw an application, you will need to submit your intention to withdraw in writing to us at StayVMC@dwellstudent.com

2. Cancellations received after the signed Residential Tenancy Agreement commencement date
- Cancellation requests must be submitted in-writing via e-mail to: StayVMC@dwellstudent.com
- If cancellation is requested 14 days before the agreement start date, holding deposit fee will be collected by Dwell Village Melbourne City. After this period, customer will be liable for the payment of rent for the room as stated in the tenancy agreement until an approved replacement is found. Please be aware that Dwell Village Melbourne City is obliged to fill rooms that are already vacant before newly departed rooms can be filled, following a queue.
- Dwell reserves the right to recover reasonable costs (included but not limited to cleaning, advertising, administration costs and loss of rent) for agreement cancellation and early termination from the holding deposit or bond payments until a replacement tenant is found. A Cancellation /Reletting Fee of $250 applies and must be paid directly to Dwell as it cannot be deducted from the bond.
- Residents are responsible for rental payments according to the Residential Agreement for the whole period of their agreement or until such time as an approved replacement is found (whichever comes first).
- Dwell must approve all replacement tenants. Replacement tenants must be students from a higher education institution and cannot be existing tenants with whom Dwell already holds an agreement.
3. Cancellations received after the signed Residential Tenancy Agreement commencement date
- Cancellation requests must be lodged by completing a Notice to Leave by Tenant, available upon request at Dwell Reception.
- A Cancellation /Reletting Fee of $250 applies and must be paid directly to Dwell as it cannot be deducted from the bond.
- Holding deposit (if applicable), and bond payment will be collected by Dwell Village Melbourne City.
- Residents are responsible for rental payments according to the Residential Agreement for the whole period of their agreement or until such time as a suitable replacement is found (whichever comes first). Please be aware that Dwell is obliged to fill rooms that are already vacant before newly departed rooms can be filled, following a queue.
- Dwell must approve all replacement tenants. Replacement tenants must be students from a higher education institution and cannot be existing tenants with whom the Dwell already hold an agreement.
- The outgoing tenant should allow at least 3 working days for cleaning and maintenance to be done after their departure and prior to the contract commencement date of the incoming tenant. Rent for such time and the cleaning fees are payable by the outgoing tenant to Dwell prior to departure.
- Departing tenants are required to complete a Bond Claim Form prior to departure. Bond monies will be processed on the updated end date of the current Residential Tenancy Agreement, subject to apartment inspection following Dwell Rules.
- On the day of departure, room key is to be returned to Reception prior to 10:00am. Keys returned after 10:00am will incur additional charges unless prior arrangements have been made with Dwell Administration.
4. First Year Domestic Students
First-year domestic student or a student studying for the first time at University, or transferring from a University outside of Melbourne (“First Year Student”) can enter into a Residential Tenancy Agreement at Dwell before receiving and accepting an offer for admission to study. Dwell will release any such qualifying First Year Student from their Residential Agreement subjected to the following conditions:
- The education institute DOES NOT offer an admission to study to the First Year Student
- Documentation with supporting evidence (for example notification from the University) must be summitted to Dwell within 14 days from the lease commencement date. After which student will be liable for the payment of residential fees for the room allocated to them until an approved replacement is found.
- Once the documentation is provided then the agreement will cease, provided approval has been granted by Dwell East End management.
- Your liability under the Residential Agreement will be limited to the Residential Fees and other charges payable under the Residential Agreement from the contract start date to the date East End Management receives the Resident Notification from you.
Once the proper documentation is received by Dwell, the Residential Agreement will cease. The liability under the Residential Agreement will be limited to the Residential Fees and other charges payable under the Residential Agreement from the contract start date to the date Dwell Management receives the Resident notification.

5. Cancellation of an agreement – due to no VISA (International Students)
Eligible international students can enter into a Residential Tenancy Agreement at Dwell before a VISA is granted by the relevant government authority with the knowledge that Residential Tenancy Agreement can be terminated with limited liability. Dwell Village Melbourne City will release any qualifying international students up to 14 days before their lease commencement date. After this period, a holding deposit fee, bond payment, and a cancellation fee of $250 will be collected. Students will be liable for rent payments until a suitable replacement is found.
What should I do if I am declined a Visa?
If you are notified by Department of Immigration that you are not granted a Visa to study in Australia
- You must notify Dwell Management in writing (Resident Notification) within 24 hours of receiving notification from the Department of Immigration. Please send an email with your declined Visa documentation attached to StayVMC@dwellstudent.com
- If you comply with all of the above terms, your liability under the Residential Agreement will be limited to the Residential Fees and other charges payable under the Residential Agreement from the contract start date to the date Dwell Management receives the Resident Notification from you. Your holding deposit (1 weeks rent) and any advanced rent payment made to Dwell will be returned to you.
- Any resident cancelling after 14 days of prior to lease start date is liable for rent until a suitable replacement is found.
Cancellation by Dwell
- At any time during or prior to the commencement of your residential tenancy agreement, we may (at our complete discretion, but otherwise to the extent permitted by the law of the Relevant State) cancel your booking if any of the following occurs:
- (a) the information you provide as part of the booking process is false or misleading; or
- (b) you fail to comply with your obligations in these Booking Terms and Conditions.
In this case, to the extent permitted by the law of the Relevant State, we may retain any holding deposit and/or any other amounts you have paid to us.
Contract Deferment
- The management team will review each deferment request on a case-by-case basis. Management reserves the right to approve or deny any deferment request based on the provided documentation and the merit of the case.
- Students must submit a deferment request in writing at least 14 days before the lease commencement date with comprehensive supporting documents.
- The first deferment will be free of charge, but any subsequent deferments after the commencement date will incur a $250 administrative fee.
